NZSL Letter FAQs

What is a NZSL Letter?

Seeflow’s NZSL Letter service enables organisations, such as Government departments and other services, as well as individuals, to easily produce public information or private correspondence to individual clients or groups, that is in NZSL and accessible to the Deaf community.

These professionally translated and produced NZSL Letters can be viewed securely online and downloaded by your organisation. Recipients can access and download the letters with your permission.

The video translations can even be put on an organisation’s own website or a public site such as YouTube if this is preferred.

Once a NZSL Letter is submitted to Seeflow, the submitter can control aspects of distribution, such as whether the translation is public, private, accessible only by key code, and even if they want Seeflow to notify the recipient directly.

When the NZSL Letter translation is ready and approved, the recipient can access the letter securely or publicly, and download the video file(s). Seeflow’s system is secure, confidential and easy to use.

Why provide NZSL translations?

Firstly, it is important to remember that English and New Zealand Sign Language are two separate and distinct languages. Each has their own words, grammar, registers and cultural meaning specific to each language community. NZSL is not simply a gestural version of English, and it is not appropriate or accurate to assume that someone fluent in NZSL is automatically fluent in English.

Deaf people that use NZSL as their first or preferred language make up a significant language community in New Zealand. This uniqueness and right to access information in NZSL is enshrined in the NZSL Act (2006).

The provision and use of Seeflow services is a significant step forwards in New Zealand achieving regulation standards as laid out in the NZSL Act (2006), the UN Convention on the Rights of People with Disabilities, and the Health and Disability Commission’s Code of Consumer Rights.

Seeflow services can also play a valuable role in ensuring obligations are met in terms of informed consent, and other legally binding processes.

Is our information secure?

Yes, we value your privacy above all else, and take every precaution to ensure your data is safe and secure.

The security and confidentiality of your message information is of extremely high importance for us, as it is for you. We have built our system to include a number of security measures including key code access to private material, and secure website encryption to protect your content.

Throughout the translation process we use the lowest number of people possible to bring you the best quality work. Our translation team includes professionally trained, qualified and registered interpreters, who are knowledgeable about confidentiality issues and bound by the SLIANZ Code of Ethics.

Public or Private access

As part of the submission process, you are able to easily select who will be able to view your NZSL Letters; whether they are for public access or for private viewing only. These options are available to you:

Public NZSL Letters. Select this option if you intend your translation to be for public information, allowing it to be openly accessed either on your website or on the Seeflow website. These translations can be accessed by anyone, without the need for security or verification processes. We can notify recipients for you, or you may wish to do this yourself.

If you wish to distribute the translation yourself, we will provide you with an abbreviated link to the page displaying your video translation. You can then decide how to notify recipients; include the link in your email, or post it on your website. You could even just refer to it in your written correspondence.

Private NZSL Letters. Select this option if you intend your translation to be viewed by one individual only, or a closed group of recipients, such as a committee. Clients are given unique key codes to access their personalised letters. Again, Seeflow can notify recipients for you, or you can do this yourself. By inputting the key code on the Seeflow website, your recipients can easily and securely view and download both the NZSL translation, and the original English document.

Quality of translation

Seeflow uses only professionally registered and experienced NZSL translators to ensure concise, clear and fluent NZSL translations.

Our team includes professionals who have a range of subject knowledge and community interpreting experience, including subject specialists. This means we can match the demands of your translation to the best-suited member of the team. All translations are double checked by another professional to ensure quality and accuracy. Translations intended for broad public distribution are double checked by a native speaker.

We have access to a range of online resources to help with technical information. However on occasion we may need to get back to you to clarify something in your document before proceeding. We will do this as soon as possible after receiving the document.

These provisions are designed to allow us to consistently produce the highest quality translations possible, in a realistic timeframe, for a fair and reasonable cost.

Can our NZSL Letter be customised?

Absolutely. Seeflow respects that the correspondence is between your organisation and an individual, and has options for actively minimizing the appearance of third party involvement. A range of options is available to make the NZSL Letter reflect your organisation’s branding and identity. This is agreed upon by your organisation, and therefore cannot be adjusted by individual users, such as staff, unless by prior agreement.

Custom header

We can consult with you to agree on a header, with your contact details, corporate logo, and colours that can be selected to match your organisation’s branding.

Watermark

We can easily create a watermark for your NZSL Letter videos. A watermark can be, for example, an opaque representation of your corporate logo in a corner of the video throughout its length (to see an example, view one of the micro-translations of information on our website, where the Seeflow is displayed in the top right hand corner of the video screen). Watermarks are a good way of achieving easily recognition of the sender throughout the video.

Additional access features

In addition to the customisation options listed above, further modifications are available on a case-by-case basis and can be requested when submitting your document.

Subtitles

This option is available if you would like to reach a larger audience, and is particularly useful if you do not have a written document to distribute along with the NZSL option. Subtitled video letters could be used for any people who can read English, so could be suitable for broader distribution and access.

Voice-over

We are able to record a high-quality audio track to accompany the NZSL translation if you wish. This may appeal to some Deaf people who have some residual hearing (but still have NZSL as a first language), and further enhances the accessibility of the information.

Video overlay

You may already have a fully produced video that is not NZSL accessible. Seeflow is able to overlay a video, or an image, over part of the NZSL translation video. This is an easy and cost effective way of converting existing video stock into resources for the Deaf Community to access.

How long do translations take?

Seeflow offers a range of deadlines depending on your urgency, and you can select the deadline that suits when you submit work to be translated. If you have a different deadline requirement then let us know via the comments/information box and we can try our best to accommodate your needs.

For our NZSL Letter service, we offer these deadlines

  • Urgent (3 hours), Rapid (24 hours), Normal (3 days).

On some occasions, the deadline you select might not be possible or appropriate for the work submitted. It may be too lengthy to translate in the time requested, after hours, or of a technical nature requiring additional translation support. We let you know upon submission if your deadline is possible, and if it is not, we can negotiate an alternative.

Why does our organisation need to register?

The ability to create a NZSL Letter is only available when an organisation registers with Seeflow. Upon registration, an account is created for that organisation.

Organisations can determine requirements such as branding, contact details, and how members or staff of that organisation can submit material for translation. This means individual staff can register with Seeflow to submit work, but the processes and charges are allocated back to the organisation account. This avoids the organisation having multiple accounts for each staff member and assures consistency in appearance and processing.

Getting Started

If your organisation already has an account with Seeflow, you need to register as a member also, and have nominated the organisation as your employer in the registration section. This gives us information on how to process and present your translation.

NB. We will need to verify with your organisation that you are an employee and have permission to request these services. You will have nominated your manager’s contact details when you signed up, and verification should not take long. We can also accept enduring permission to avoid having to check for each submission.

Once this has been established, you will be able to submit material for translation into a NZSL Letter.

You can create a NZSL Letter by submitting your content securely online via our website, in the form of an uploaded file, cut and pasted content in our information box, or by email.

The Seeflow Team is also available to provide group or one-on-one training on using Seeflow if required.

Pricing

Seeflow NZSL Letters vary in price depending on the length and complexity of the content, and the deadline you select for the translation to be completed by.

The standard cost for a NZSL Letter is $68.50. This includes translation of the source material:

  • up to 400 English words

Additional length of source content will incur further charges of

  • English document $9.50 per 100 words or part there of

Additional complexity, and shorter deadlines will increase the translation cost; we encourage you to seek a quote for your submission. All prices above are excluding GST.

There is a small one off set up to establish the NZSL Letter template for your organisation, please contact us to discuss.

Can we receive a quote first?

Yes, you can easily request a quote. When you log in, select a service, and upload your video or document, you can inform us that you would prefer a quote first. Seeflow will then assess the job and contact you promptly with a quote. You can then decide whether or not to proceed.

Business Hours

Seeflow’s standard working hours are Monday to Friday 8:30am – 6:00pm. Seeflow is closed during statutory holidays.

If you require a job to be undertaken or completed outside of these hours, we still may be able to help. Please let us know when you submit the job and we will get back to you urgently to confirm. After-hours work may attract a surcharge.
